Rent Collection

Field Agents can help support and monitor rent collection activity within their assigned rental network.

The exact process depends on the current Welile payment workflow.

What is rent collection?

Rent collection refers to receiving, recording, monitoring, or following up on rent-related payments linked to a tenant and rental relationship.

For some Welile rental arrangements, this can include daily or scheduled repayment activity.

What a Field Agent may do

Depending on permissions, a Field Agent may be able to:

  • view tenants who are due to pay;
  • follow up on expected collections;
  • record or confirm relevant collection activity;
  • view collection status;
  • monitor partial or complete payments;
  • review missed payments;
  • view daily collection totals;
  • access receipts or transaction records.

Collection statuses

The system may use statuses such as:

  • paid;
  • partially paid;
  • unpaid;
  • missed;
  • pending;
  • completed.

Always rely on current product status labels.

Today's Collection

The dashboard can show the value collected for the current day.

Collection Calendar

The collection calendar can show:

  • full-payment days;
  • partial-payment days;
  • missed-payment days.

Partial payments

If a tenant makes only part of an expected payment, record it according to the live Welile workflow.

Do not mark a partial payment as complete unless the system and current rules allow it.

Missed payments

Follow the approved Welile follow-up process.

Never create a payment that did not happen

Do not create false payments to make a tenant appear paid. Collection records feed tenant history, landlord records, balances and commissions.

Receipts

Where available, use the official receipt as evidence of the recorded transaction.

A receipt may include:

  • tenant;
  • landlord;
  • Agent;
  • amount;
  • house type;
  • address;
  • date;
  • other transaction information.

Why accurate collection records matter

Collection records can affect:

  • tenant history;
  • landlord records;
  • Field Agent performance;
  • balances;
  • commissions;
  • behavioural records;
  • operational reporting.

If a payment is missing

  1. confirm the payment method;
  2. check transaction history;
  3. confirm the correct tenant;
  4. confirm the correct rental relationship;
  5. avoid creating a duplicate;
  6. contact support if the payment still cannot be located.
